Duties/Responsibilities
  • Provide standard office support activities, including preparation and tracking of correspondence; acquisition and maintenance of equipment and supplies; management of office general fund and bill payment; management of files, mail, phones, standard procedures and records coordination; support for personnel procedures.
  • Work with program managers to prepare and administer public contact systems including GovDelivery and managing mailing lists. Manage Climate Change mailbox, phones and correspondence.
  • Schedule & set-up of meetings, webinars, conference calls and events to accommodate availability of key people within program mandated timeframes.
  • Prepare information, arrange calls/meetings, maintain attendance lists, review and summarize information, prepare meetings notes or summaries for selected events.
  • Track responses to the Freedom of Information Act by reviewing requests for information, locating material requested and determining if it is available to the public in accordance with OCC staff direction, and forwarding the material to the Department's FOIL coordinator.
  • Assist with preparation of public information materials.
Minimum Qualifications

There are no minimum educational requirements. Prior to being considered for appointment, you will be required to pass a keyboarding test that demonstrates your ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy.

Reassignment - Currently in the title and an employee of DEC
or
Reinstatement Eligible - Previously held the title on a permanent competitive basis or held a title as indicated under the transfer eligible section on a permanent competitive basis.
or
Transfer Eligible - One year of permanent competitive service at Salary Grade 4 or higher and either:
Eligible for transfer under Section 70.4: Must meet the open competitive minimum qualifications below;
or
Eligible for transfer under Section 70.1: Permanent competitive service as a Office Assistant 1 (Keyboarding), Office Assistant 1, Office Assistant 1 (Stores/Mail), Office Machine Operator. If you have not already demonstrated proficiency in keyboarding you will have to demonstrate that you meet the minimum proficiency in keyboarding. Also any language parenthetic for the above titles will qualify. Additional titles which qualify can be found on the Department of Civil Service website, http://www.cs.ny.gov/, search "GOT-IT".

55-b/55-c Candidates must meet the open competitive minimum qualifications below and include with their resume or application, a copy of the letter from Civil Service which indicates approval for the 55-b/55-c program.

Open competitive minimum qualifications (provided for 55b/c candidates and 70.4 transfer eligibles): There are no minimum educational requirements. You will be required to demonstrate that you meet the minimum proficiency in keyboarding.

Duties/Responsibilities

Type, proofread, review, and correct correspondence, documents, and other written materials.
Transcribe hand-written materials and make appropriate formatting and accuracy corrections.
Schedule appointments and meetings using various office tools.
Perform routine processing activities, including checking forms for completeness and accuracy.
Maintain files, correspondence, documents, records and tracks according to guidelines.
Opens, sorts and distributes first class mail, interagency and special mail for the Office of General Counsel.
Undertakes and prioritizes photocopying, scanning, and paper shredding assignments, ensuring that assignment is done in a timely manner.
Assist with filing needs.
Routinely make deliveries and picks up mail and other correspondence throughout the building.
Operate various communication systems such as telephones and computers.
Operate and perform basic cleaning and maintenance on office machine and equipment.
Assist with bulk mailing assignments
Assist in maintaining and updating division law books.
