Duties/Responsibilities
  1. Receive public inquiries via walk-ins, telephone, mail or e-mail. Handle as appropriate.
  2. Share phone duties with other secretarial staff in the Cortland office, routing calls to the appropriate office.
  3. Inventory and order office supplies. Prepare invoices for entering into FMIS.
  4. Provide administrative assistance to staff including typing and mailing as needed. Assist in administrative process of hiring permanent and seasonal personnel including canvassing, scheduling of interviews and preparing the necessary personnel documents.
  5. Assist and/or complete iExpense accounts for staff as needed.
  6. Supervise Regional Administration staff as needed.

Eligible for transfer under Section 70.1: Permanent competitive service as a Secretary 1, Accountant Aide including Trainee 1 & 2, Agency Services Representative, Administrative Aide, Agency Program Aide, Business Document Specialist 1 & 2, Calculations Clerk 2, Clerk 2, Data Processing Clerk 2 & 3, Environmental Conservation Program Aide including Trainee, Keyboard Specialist 2 & 3, Legal Assistant Trainee 1 & 2, Library Clerk 2 & 3, Principal Account Clerk, Principal Clerk, Principal Stores Clerk, Principal Mail and Supply Clerk, Secretary 1 & 2, Senior Data Entry Machine Operator, Senior Mail & Supply Clerk, Senior Offset Printing Machine Operator, Training Aide. Duties/Responsibilities

The Secretary 1 will provide a full range of administrative support to the Occupational Health and Safety Unit within the DEC Office of Employee Relations. This position requires the ability to assume responsibility for assigned tasks, to communicate effectively, to prioritize tasks received from multiple staff and maintain the confidentiality of certain matters. Strong communication and organizational skills are necessary. The successful candidate will demonstrate a positive attitude and the skill to deal with customers in a professional and helpful manner.

Having good customer service skills, the ability to work well both independently and as part of a team, and enjoying a busy, challenging work environment are necessities.

The primary duties will include, but not be limited to:
• Act as the Agency's primary liaison between Employee Health Services (EHS) of DCS and DEC programs for the purposes of scheduling medical monitoring examinations;
• Draft, prepare and distribute various correspondence related to medical monitoring results;
• Maintain and update various databases and spreadsheet logs
• Receive and direct calls
• Schedule meetings, maintain staff calendars and travel arrangements
• Record meeting minutes at various Labor/Management meetings

Necessary Skills: Proficiency with Microsoft Outlook, Word, and Excel necessary. Experience with Microsoft Access and/or SharePoint helpful; experience editing and proofreading correspondence and a demonstrated ability to work with internal and external support staff
