Duties/Responsibilities Organize and coordinate administrative activities within the regional program. Will provide support to the Program Director. Duties will include handling incoming correspondence and drafting responses; reviewing outgoing correspondence; researching background information; transmitting instructions to staff and following up; handling telephone calls and visitors and responding to questions; coordinating and arranging meetings, maintaining office machinery, scanning paper files, organizing electronic and paper records, and paying invoices. The incumbent may supervise clerical staff.

Eligible for transfer under Section 70.1: Permanent competitive service as a Secretary 1, Secretary 2, Accountant Aide including Trainee 1 & 2, Administrative Aide, Agency Program Aide, Business Document Specialist 1 & 2, Environmental Conservation Program Aide including Trainee, Keyboard Specialist 3, Legal Assistant Trainee 1 & 2, Library Clerk 2 & 3, Office Assistant 2, Office Assistant 2 (Calculations), Office Assistant 2 (Customer Service), Office Assistant 2 (Keyboarding), Office Assistant 2 (Stores/Mail), Office Assistant 3, Office Assistant 3 (Calculations), Senior Offset Printing Machine Operator, Stores & Mail Operations Supervisor. Also any language parenthetic for the above titles. Additional titles which qualify can be found on the Department of Civil Service website, http://www.cs.ny.gov/, search "GOT-IT".

If you have not already demonstrated proficiency in keyboarding you will have to demonstrate that you meet the minimum proficiency in keyboarding.

Duties/Responsibilities Open, review and distribute all incoming mail. Process all outgoing mail, including certified and express mail. Answer telephone calls for bureau and respond or direct calls, as appropriate. Prepare and/or finalize letters, memos and reports. Perform various administrative duties including maintain office files, order office supplies, schedule meetings and making travel arrangements. Perform additional duties as Accident Coordinator, which includes reviewing reports and repair estimates and coordination with maintenance centers, regional offices, OGS and Attorney General's office. Assist in Bureau's budget which includes processing JV's, preparing monthly budget report and reconciling procurement card charges. Process invoices for payment into FMIS system, as needed. Also perform other duties as assigned by Bureau Chief. Some supervision may be required.
