Duties/Responsibilities - Prepare and track Division/Bureau correspondence; includes review of outgoing letters/memos for proper grammar, clarity, factual correctness, and appropriate style and format.
- Develop and maintain filing systems (paper and electronic) to manage various records, documents and other information. This includes scanning and placing files in CEDR.
- Provide courteous phone service and direct inquiries to appropriate staff/department/agency. This includes handling emergency notification and report of project tests.
- Provide general typing, filing, copying and faxing services to Division staff
- Process and track various administrative actions, including timecards, performance evaluations, travel requests, and information (FOIL, other) requests
- Perform website update and management tasks
- Manage (review, sort, prioritize) incoming correspondence and deliver to appropriate staff
- Manage staff calendars and produce a weekly staff schedule.
- Meetings: scheduling of meetings; assist in coordinating Community Meetings and tracking RSVPs; assist in administrative functions at meetings
- Make travel and meeting arrangements for staff
- Maintain and update Division administrative procedures manuals, periodically reviewing procedures and suggesting changes as appropriate.
- Supervise administrative staff (Office Assistant 1, Office Assistant 1(keyboarding), as appropriate and assigned
- Process invoices/vouchers for the purchase of routine office supplies/equipment and a wide range of technical supplies/equipment to support Division functions
- Assist staff with the preparation of routine FOIL requests
- Assist staff with the preparation of outreach materials
- Assist staff with the preparation of reports and with other projects
- Provide backup administrative assistance to other Division of Water Bureaus
- Assist in keeping emergency plans organized, including properly filing dates
- During emergency operations provide administrative support
- Be proficient with Word and Excel.
- Become familiar with bureau projects/facilities in order to better assist during emergencies

Reinstatement Eligible - Previously held the title on a permanent competitive basis or held a title as indicated under the transfer eligible section on a permanent competitive basis.

Transfer Eligible - One year of permanent competitive service at Salary Grade 9 or higher and:
Eligible for transfer under Section 70.1: Permanent competitive service as a Secretary 1, Secretary 2, Accountant Aide including Trainee 1 & 2, Administrative Aide, Agency Program Aide, Business Document Specialist 1 & 2, Environmental Conservation Program Aide including Trainee, Keyboard Specialist 3, Legal Assistant Trainee 1 & 2, Library Clerk 2 & 3, Office Assistant 2, Office Assistant 2 (Calculations), Office Assistant 2 (Customer Service), Office Assistant 2 (Keyboarding), Office Assistant 2 (Stores/Mail), Office Assistant 3, Office Assistant 3 (Calculations), Senior Offset Printing Machine Operator, Stores & Mail Operations Supervisor. Duties/Responsibilities This position will provide support for the Allegany Office including but not limited to, supervising support staff, entering Revenue Accounting information, reconciling credit card statements, maintaining a ledger, processing invoices, making payments using credit cards, providing administrative support to the Ranger Captain and Natural Resources Supervisor. Processing personnel transactions, overseeing evaluation submission, assisting with inventory, ordering supplies. Duties will also include typing, filing, answering phones, copying, scanning, entering data and selling fishing/hunting/bait licenses as necessary.
