Duties/Responsibilities

The Division of Air Resources is responsible for the protection of public health and welfare of New Yorkers through the implementation of the state's air quality control program. Organized into six program bureaus with different areas of responsibility, staff work in close association with and support staff in our nine regional offices. The Director's Office provides management and support for all aspects of the air pollution program. The Administrative Aide assigned to the Director's Office will serve as an integral part of program's administrative support staff team working on a wide variety of activities with program managers, professional and administrative staff to ensure a continued work flow and timely and accurate work outputs. Primary responsibilities may include, but are not limited to:
• Develop, administer and maintain an effective training plan and procedures manual for program's administrative support staff. Investigate, solicit and effectively initiate required training for staff to maintain efficiency with new technology and changes in office procedures.
• Research rules, regulations and procedures manuals to determine solutions or alternative approaches to administrative problems and issues.
• Provide oversight and guidance to program's professional and administrative staff during staffing short-falls to maintain an uninterrupted workflow and timely completion of assignments.
• Coordinate, oversee and distribute updates to various program directories.
• Solicit quotes, negotiate agreements and coordinate logistics of program management meetings and other program events.
• Assist program managers and professional staff in developing and administering program's seasonal hiring plan and the recruitment and onboarding of new employees.
• Assist Records Management Coordinator in the administration and oversight of program's records management activities.
• Serve as backup to program's Freedom of Information Law Coordinator.
• Prepare and present monthly and quarterly financial reports.

Reinstatement Eligible - Previously held the title on a permanent competitive basis or held a title as indicated under the transfer eligible section on a permanent competitive basis.
or

Transfer Eligible - One year of permanent competitive service at Salary Grade 11 or higher and:
Transfer eligible under Section 70.1 - permanent competitive service as an Administrative Aide, Accountant Aide, Accountant Aide Trainee 2, Agency Program Aide, Business Document Specialist 2, Environmental Conservation Program Aide trainee, Keyboard Specialist 3, Principal Mail and Supply Clerk, Principal offset Print Machine Operator, Principal Stores Clerk, Secretary 1. Additional titles SG 11 or higher which qualify can be found on the Department of Civil Service website, search "GOT-IT".
